Administrative/Office Assistant

Admin:

We’re looking for a responsible, organized, administrative/office assistant to perform a variety of administrative and clerical tasks. Duties include everything from providing support to the team to assisting in daily office needs and managing our company’s general administrative activities. See requirements and qualifications below.

 

Roles/Responsibilities

– Manage books
– Submit and reconcile expense reports
– Ensure that all items are invoiced and paid on time (Accounts Receivable and Payable)
– Filing
– Handle administrative requests and queries from senior managers
– Address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
– Send mail/packages
– Monitor stock and order stationery, supplies and equipment
– Shopping and running various errands
– Maintain the office condition and arrange necessary repairs
– Keep the office neat and tidy
– Schedule meetings and appointments
– Take meeting minutes
– Answer and direct phone calls and “Contact Us” emails
– Ensure timely and accurate customer service
– Handle complaints and specific customers requests

Requirements

– Knowledge of office management systems and procedures
– Working knowledge of office equipment, like printers and scanners
– Excellent organizational and time management skills
– Ability to multi-task and prioritize work
– Attention to detail and problem solving skills
– Excellent written and verbal communication skills in English and French
– Strong proficiency working with Excel and Quickbooks (or equivalent account software)
